RoomDex is a room scheduling app provided by Solution Tree for Android and iOS. This page describes the current app and this website. Questions or requests can be sent to app.amyshaaz@gmail.com.
Google account and calendar information
When you choose to connect Google Calendar, Google handles sign-in and asks for your permission. RoomDex does not receive your Google password. It receives your Google account identity and the authorisation needed to perform the calendar actions you permit.
The app reads your calendar list, calendar names and descriptions, access roles and calendar events. Event information can include meeting titles, descriptions or agendas, start and end times, organiser information, and attendee response status. It uses this information to display room availability and meetings, detect observed booking conflicts and show the calendars available to your account.
When you create or manage a room or meeting, RoomDex sends the relevant name, description, capacity, meeting details and times to Google Calendar. Room capacity is stored in the room calendar description. An optional organiser label is stored with the event. Calendar visibility and sharing remain subject to your Google Calendar settings.
How Google data is used
Google account and calendar data is used to provide RoomDex’s scheduling features. It is not sold, used for personalised advertising or used to train AI models. The current app does not send calendar data to a RoomDex-operated application backend. Google stores the calendars and events; RoomDex loads schedules onto your device to display and manage them.
RoomDex’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Information stored on your device
RoomDex stores preferences such as the selected room for each Google account, company name and logo, and weather location on the device. Calendar schedules are held in app memory while in use. Google’s native sign-in SDK manages the signed-in session and credentials. If you enable the settings lock, a salted password verifier is stored using platform secure storage; the settings password itself is not stored as plain text.
Device settings and operating-system backup rules may affect whether local preferences are backed up or restored. Company branding appears on the room display and should only include material you intend to show there.
Optional weather and location
You can choose a city for weather or request the device’s current location. The app requests location permission only for the current-location feature; it does not request background location access. Weather coordinates are sent to Open-Meteo to obtain a forecast. City searches are sent to its geocoding service. These network requests also reveal the requesting IP address to the service. Weather information is separate from Google Calendar data.
You can change the selected city or revoke location permission in the operating system. See Open-Meteo’s terms and privacy information for its handling of requests.
Sharing and service providers
Google processes account authentication and calendar data under its own policies. Open-Meteo processes the weather requests described above. RoomDex does not automatically make a room calendar public or invite other people to a meeting. Other accounts see calendar information according to sharing permissions you configure in Google Calendar.
This website’s hosting provider may process standard request information, such as IP address and browser information, to deliver and secure the website. We have not added advertising trackers or analytics scripts to this website. If you email support, your email address and the information you choose to send are used to respond to your request.
Your choices, retention and deletion
You can sign out in RoomDex’s calendar settings and revoke RoomDex access through your Google Account connections. Signing out removes the active in-app calendar session and loaded schedule data; saved local preferences can remain for reconnection. Remove the app’s local data using your operating system to clear those preferences, subject to platform backup and secure-storage behavior.
Signing out or removing RoomDex does not delete calendars or meetings stored by Google. You can edit or remove those through Google Calendar, or use RoomDex’s meeting management for calendars where you have write access. Contact support if you need help removing app-specific local information or support correspondence.
Security
The app communicates with Google and weather services over HTTPS and uses platform sign-in and secure-storage facilities. The optional settings lock protects access to the settings interface on that device. It does not replace operating-system device security, Google account security or calendar sharing controls.
